Are You Ready to Update Your Time and Attendance Software?

Gone are the paper time cards from the olden days and in is the time and attendance software that can scan your retina, fingerprint, or a key card. This software that I just described may be a little more than your company needs but at least you know the technology is out there when you are ready for it.

Let’s look at a list of some of questions you might want to ask before picking which software is best for you. First figure out what your budget or the company’s budget is for this project. The software vendors you are looking to work with are going to ask you this first. Always talk to them up front about fees and costs about everything. Any upgrades may force you to dip deeper into your budget.

What is your need and how many employees will be using the software everyday? If your company is possibly going to expand then you will want to find software that grows with you. The easiest thing to do will be to keep the number of software upgrades to a minimum which in turn will keep the costs down.

Sometimes the software you choose for time and attendance can work with your current payroll or other systems. Look for a vendor that has software with several functions such as creating reports for attendance, paid time off, vacation and even labor cost. Talk to your sales person about the limitations of their software as they should know the in and outs of the system. It’s all about streamlining and making everyone’s job easier so that you can get back to increasing your productivity.

Everyone in the company should be able to easily use the time and attendance software. Another big factor will be training your employees so take a test run of the program before you actually sign the contract. If the vendor is not willing to do this then start looking for another company. Many times the vendor will be able to help you implement the software and provide support beyond the time you start using their software. Constant communication with the vendor can be detrimental to running a successful training phase for time and attendance software. How can you rely on software being used by your employees if you have to call the vendor every time it breaks down. This will allow you and your employees to be happy and productive instead of being frustrated.

Ask the vendor how you know they are a company that will be around in 5 years to support your software and offer upgrades if needed. Many times you will find names of companies they have worked on their website, but your better bet would be to directly ask for references with phone numbers included. The best way to know you are getting something good is to do your own research and rely on the facts.
